Gigbuilder can create a Zoom meeting for every event and appointment and send your clients the join link for you. This guide covers how to connect Zoom, how to use it, and how to disconnect it.
What you need
- A Gigbuilder account where you can open Setup.
- A Zoom account. Free accounts work, but Zoom ends free meetings after 40 minutes.
Connect Zoom
- In Gigbuilder, open Setup → Gigbuilder Setup → Integrations → Virtual Meetings.
- In the Zoom section, click Connect Zoom.
- Sign in to Zoom, then click Allow. Gigbuilder never sees your Zoom password.
- You’re brought back to Virtual Meetings, and the Zoom section shows Connected as with your Zoom email.
The first time you connect Zoom, it becomes your default meeting service: every meeting link opens Zoom. You can change that at any time under Default meeting service → Meeting links open. Only services that are connected (or turned on, like Gigbuilder Meet) can be chosen there.
Use it
- Every event has its own meeting room. Open an event, go to the Client tab and find Online Meeting Room. The link there never changes.
- Start the meeting as the host. Click Zoom next to the link. The first time, Gigbuilder creates the Zoom meeting in your own Zoom account. After that, it opens the same meeting every time, so no duplicates are made.
- Send it to your client. Put
{$MEETING_LINK}in any email or text, including scheduled messages and appointment reminders. Your client can also join from the Join button in their Client Center. - Use a different service for one event. In that event’s Online Meeting Room, change Meeting link opens to another service you use, such as Gigbuilder Meet or Google Meet.
What Gigbuilder can see in your Zoom account
Gigbuilder only creates and reads the meetings it makes for your events, and reads your Zoom name and email so it can show which account is connected. It never reads your recordings, contacts or other meetings.
Disconnect Zoom
You can remove Gigbuilder’s access in either of two ways:
- In Gigbuilder: open Setup → Virtual Meetings, and in the Zoom section click Disconnect (click twice to confirm).
- In Zoom: sign in at marketplace.zoom.us, open Manage → Added Apps, find Gigbuilder and click Remove.
After you disconnect, meeting links open the next service you use, such as Gigbuilder Meet. Meetings already created stay in your Zoom account until you delete them there.
Troubleshooting
- “Your Zoom connection has expired or was removed”: click Reconnect in the Zoom section.
- Zoom isn’t offered under “Meeting links open”: Zoom isn’t connected yet. Click Connect Zoom first.
